Set up your school's public profile

This is for the head or proprietor of a school on Clarvyn.

Why your school needs one

Most parents choose a school by asking around. A name comes up at church, at work or in a WhatsApp group, and the next thing the parent does is look the school up. If nothing comes up, or what comes up is a Facebook page last touched three years ago and a phone number nobody answers, the conversation often ends there.

Your Clarvyn profile gives your school one page that is accurate because you wrote it. It carries the facts you would put on your own gate: what you are called, where you are, which years you teach, whether you take boarders, what you offer, what you charge if you choose to say, and how to reach you.

The profile appears in two places.

  • In the Clarvyn parent app. Every signed-in parent can browse every school on Clarvyn, including parents whose children are elsewhere. This happens whether or not you switch on the public page.
  • On the open web, at clarvyn.ai/explore, once you choose to be listed. Anyone can find it there, and so can search engines.

The public directory is deliberately plain. There are no rankings and no table to climb. No school can pay to appear higher than it belongs. Nobody who does not have a child at your school can leave a review. Every school on the list is there because it asked to be. That is what makes a place on it worth having.

The profile also does quieter work inside Clarvyn. Your crest and your brand colour print on every receipt, so the profile is worth completing even if you never go public.

What parents will see

A school's page shows, in this order, and only the parts you have filled in:

  • Your name, crest and motto, over your banner photo.
  • A row of facts: day or boarding, the years you teach, and your fees if you chose to publish them.
  • Your one-line description of the school.
  • What you offer, grouped by category.
  • Photographs you have chosen to show publicly.
  • Reviews from parents whose children attend, with the average rating.
  • Where to find you: address, phone, email, website, and your social accounts.

Anything you leave blank is left off. There are no empty rows and no "not provided" labels.

Before you start

  • Sign in as the head or the proprietor. Other roles can read the profile but cannot save it.
  • Have these to hand: your crest as an image file, one wide photograph of the school taken by you, the full address, a phone number and email address that are answered, and a decision on whether to publish fees.
  • Do not plan to use a photo of children from your gallery as the banner. The form will tell you the same thing.

Step by step

1. Open the profile

In the school console, open Settings, then Setup. The first tab is Profile.

2. Name and crest

Enter the school's name as parents say it. Add a motto if you have one. Upload the crest.

Set your brand colour as a hex value such as #1d4ed8. This is the one colour that prints on your receipts, so pick the colour of your crest or your uniform, not a favourite.

3. Describe the school

One line about the school is the most important sentence on the page. It sits under your name and it is the text search engines show beneath your link. Make it a fact, not a slogan. "A co-educational primary school in East Legon, founded in 1998" tells a parent more than "Excellence in all things".

Do not reuse your motto here. If the two match, the page shows the motto once and drops the repeat.

Upload a banner photo: a wide photograph of the school, up to 8 MB. Then write a few words for what the banner shows, such as "The school courtyard on a Monday morning". Screen readers read this aloud to parents who cannot see the picture.

4. Where you are

Fill in the address, the city or town, the country and the region. Parents filter the directory by region, so a school with no region set does not appear when a parent narrows the list to theirs.

5. The school itself

Choose day or boarding: day only, boarding only, or both. Choose the type of school: private, public, mission or international. Tick the years you teach, from creche through to SHS.

6. What you offer

Tick what your school actually has. Parents filter on these, so a tick you cannot back up brings a visit that ends badly for both sides. Leave a box empty rather than tick it hopefully.

7. Fees

You have three choices under show fees as.

  • Not stated. The page says nothing about fees.
  • On request. The page says fees are available on request.
  • Published range. The page shows a "from" figure with your currency.

If you publish a range, enter the starting amount in the smallest unit of the currency. One thousand five hundred cedis is entered as 150000. Choose the currency beside it.

This is only what you choose to show the public. Your invoices and what any family actually pays stay private.

8. How to reach you, and social

Enter a phone number, an email address and your website. Paste the full website address starting with https://. Add your Facebook, Instagram, X, TikTok and WhatsApp if you use them. Each one you fill in becomes a link on the page.

9. Save, then read it as a parent

Press Save profile. Open the parent app, find your school, and read the page as a parent who has never heard of you would. Fix what reads wrong and save again. Nothing is public yet.

10. Switch on the public page

At the bottom of the form is one control set apart from the rest: Show this school on the public web. It is off by default. Tick it and save.

Within a few minutes your page is live at clarvyn.ai/explore/ followed by your school's code. Only the head or the proprietor can make this change, and Clarvyn records who made it.

Adding photographs

Photographs come from your media library, not from the profile form. Open Content, then Media. Each photograph has a button, Show on the public page. Press it and say what the picture shows.

A photograph with a child tagged in it cannot be shown publicly, and the console tells you so. If someone tags a child in a public photograph later, it comes off the page on its own. This is a safety rule, and there is no way round it.

Reviews and enquiries

Reviews are written in the parent app, and only by a parent with a child at your school. Clarvyn checks that against your own records at the moment the review is written, not against what the parent claims. Read them under Setup, then Reviews. You cannot edit or remove a review, which is what makes the ones you have worth something.

Enquiries from parents arrive in the Enquiries page of your console. Reply from there, or close an enquiry that needs no answer. A visitor to your public page is sent to the parent app to ask, so every question you receive comes from someone Clarvyn can identify.

Taking the page down

Untick Show this school on the public web and save. Your public page stops answering, and search engines drop it over the following weeks. Your listing inside the parent app stays, because that is not something a school opts out of.

A checklist before you go public

  • The one-line description is a fact about the school, not a slogan.
  • The banner is your own photograph and shows no child from your gallery.
  • The region is set.
  • Every offer ticked is one you can show a visiting parent.
  • The phone number and email are ones somebody answers.
  • The fee choice is one you are comfortable seeing on a stranger's screen.
  • You have read the page in the parent app first.
