Open a child in the Clarvyn parent app and you are looking at what the school has recorded about them. Nothing on that page is typed by Clarvyn and nothing is estimated. This post walks through it, tab by tab, and says where each thing comes from, because a number you cannot trace is a number you cannot act on.
The top of the page
Three figures sit under your child's name and class. Attendance is the percentage of recorded school sessions the child was present for. Class rank stays blank until the school issues a report card that carries one. Term avg is the average of the term's marked assessments, out of 100. A blank is a blank, never a zero. A child with no marks yet has no average, and a school that has not taken a register has recorded no absences.
Attendance
A grid of the last four school weeks, Monday to Friday, with each day coloured present, late or absent. A day nobody marked is left empty, not marked absent. Late counts as present in the percentage, because the child was there; an excused absence counts as an absence, because the child was not. If your school scans children in at the gate, a morning scan is the day's first mark.
Work
Everything the child has been set, in one thread: homework, quizzes, tests and projects, most recent first, so outstanding work is visible; how the term is trending, subject by subject, against last term; what the class is working through; and, at the end, the issued report card. Drafts never appear. A report card is on this tab only once the school has issued it.
Menu
This week's meals, when the school kitchen has published them. If the kitchen has published nothing, the tab says so.
Fees
Each invoice with its balance, what has been paid, and every payment listed with its method, date and reference. A Pay button where the school takes payments in the app, and the school's own accounts where it has published them. There is a separate post on paying fees from your phone.
Health
This tab is for checking, not for learning. You are not here to find out your child is asthmatic; you are here to confirm the school wrote it down and that the instruction beside it still says the right thing. So it shows what the school holds: allergies, conditions and dietary needs on file, each with its severity and what to do, and the blood group if recorded. An empty record is shown as empty, because a blank instruction is the finding.
It also shows medication. You can register a medicine your child takes, as you would on paper, and the tab then says where it stands: waiting for the school to take it in, the school has it, finished, or withdrawn. Sending the form arranges nothing on its own. Somebody has to hand the bottle in at the office, and the app says so. Below that is a log of every dose the school has given, with who gave it. And when the school proposes a medication itself, the request appears here with the dosage, route and schedule in front of you, and you consent to exactly that. There is no decline button on purpose: a parent who does not consent simply does not, and the request waits.
Photos
Every photograph the school has tagged your child in, newest first, class photographs included. Because of that, you will sometimes see other people's children, and each picture says how many other children are in it. These photographs are for the guardians of the children in them and are never on the school's public page.
Activities and Files
Activities the school has recorded for your child, and files the school has shared, such as a term letter or a reading list.
School
The school's own published pages, the shape of its year with term dates and closures, what your child's level is taught, and the admission checklist with your child's progress through it. The checklist goes quiet once everything is ticked.
Overview
The child's record as the school holds it, which you can correct and save, and the people the school lists as responsible for the child: each guardian, their relationship and the phone number the school has, digit for digit, so you can check it is right. If you want to add a guardian or change who may collect your child, that is done at the school office. The app shows the record and does not let a parent rewrite who is allowed at the gate.
The gate
If the school records drop-offs and pick-ups, the child's card on the home screen shows today's, with times, and the app keeps the record of every gate event for the child, including any time the school did not release the child and to whom the request was refused. Where the school prints a gate code, you can scan it from the app to record a drop-off or a pick-up yourself, choosing the direction before the camera opens so a wrong tap cannot write the wrong fact.
What is not there
The app shows what the school has recorded and nothing else. If a tab is thin, the school has not entered that information, and the app says so rather than filling the gap. A tab that says it could not ask is a different thing again: the school may have recorded plenty, and the phone could not reach it.
