Deleting your account

Working draft. This page says how Clarvyn intends to operate. It has not been reviewed by a Ghana-qualified lawyer, and the wording will change when it is. We publish it now because a school deciding whether to trust us with children’s records should be able to read what we claim to do. Tell us where it is wrong: support@clarvyn.ai.

Parents

Write to support@clarvyn.ai from the email address on your account, or from any address giving the mobile number you sign in with. Say whether you want:

  • your account closed, which removes your sign-in and your forum posts; or
  • your child’s school record deleted, which is the school’s decision to make, not ours.

We will confirm within a few working days and aim to complete within 30 days. If it will take longer we will tell you why.

Why your child’s record is a separate question

The school is the controller of its pupils’ records, and it has its own reasons and obligations to keep them: results, fees paid, a leaving certificate years from now. Closing your app account does not delete your child from the school’s roll, and we will not delete a school’s record on a third party’s instruction. We pass the request to the school and support it. Teachers and school staff

Ask your school office to remove your account. If you have left the school and it will not act, write to us and we will contact the school.

A whole school

A head teacher can ask for the school to be removed. Take an export first: termination drops the entire schema and is not reversible. See keeping and deleting data.

What we cannot delete

  • Records we must keep to show what happened, such as the audit entry recording the deletion itself.
  • Money records a school is required to keep, for as long as it is required to keep them.

There is no button for this yet

Deletion today is a request we action by hand. A self-service control in the apps is on the list; until it exists, this page is the route, and saying so beats advertising a button that is not there.
