Working draft. This page says how Clarvyn intends to operate. It has not been reviewed by a Ghana-qualified lawyer, and the wording will change when it is. We publish it now because a school deciding whether to trust us with children’s records should be able to read what we claim to do. Tell us where it is wrong: support@clarvyn.ai.
Send requests in writing
To support@clarvyn.ai, on the letterhead of the requesting body, naming the law relied on, the specific records sought and the period they cover.
What we do with one
- We check it is valid and that it covers the records it asks for.
- We give the narrowest set of records that answers it. We do not hand over a school’s database because one pupil is named in a request.
- Most records belong to a school as controller, so we tell the school and let it respond, unless the law forbids us from telling them.
- We record what was disclosed, to whom, and on what authority.
What we refuse
Requests with no legal basis, requests far wider than their stated purpose, and informal requests by phone or in person. We will ask for the request in writing.
Emergencies
Where there is a risk to someone’s life, we can act on a written emergency request and complete the paperwork afterwards.
